Description: The Reception Clerk at this Conference Centre is the first point of contact for guests and visitors. This role is essential for ensuring a welcoming and efficient experience for all guests. The Receptionist Clerk will manage a variety of tasks including greeting visitors, handling inquiries, answering the phone, coordinating room bookings, and performing administrative duties to support the smooth operation of our conference centre.

KEY RESPONSIBILITIES:
Administrative Support

Answer, screen and forward incoming phone calls.
Handle inquiries via email and other communication channels.
Oversee the smooth operation of courier services.
Assist in the accurate input of invoices.
Take and relay messages accurately and promptly.
Perform general office duties such as filing, data entry, and maintaining records.
Prepare and distribute correspondence and reports as needed.
Ensure confidentiality and security of sensitive information
Maintain accurate and up to date records.
Monitor and manage office supplies and inventory as needed.
Managing bookings and inquiries from start to finish
Overseeing reservation details, including room assignments and food requests.
Customer Service

Greet and welcome visitors in a courteous and professional manner.
Assist visitors with sign-in procedures and notify relevant staff members of their arrival.
Address and resolve any customer complaints or issues with professionalism and empathy and understand when to escalate to the receptionist supervisor.
Provide exceptional service to all visitors, ensuring their needs are met.
Perform other related duties as required.

Working Conditions:

This is a permanent full-time position based on 35 hours per week.
Primarily office-based at the reception area, which may involve sitting for extended periods. This role may require occasional lifting of office supplies or materials.
Ability to lift/move on a regular basis up to 25 pounds (11.3398 kgs.).
Normal hours of work – hours and work schedule will vary as operational requirements and follows a work rotation schedule and will include days, afternoons, evenings, and weekends.
