Description: ABOUT THE ROLE



This position is responsible for providing professional and courteous customer service in response to all employees who call, walk-in and/or have scheduled appointments at the Corporate Head Office. In addition, this position provides daily administrative support to various internal departments, as required.

Duties and Responsibilities:
Responsible for administration of all operations relating to incoming and outgoing mail and courier packages including but not limited to distribution, arranging pickups, and tracking.
Distribute all incoming faxes and voice messages received on the general inbox to the appropriate department
Create and maintain an accurate record of employee access card including inventory and renewals.
Ensure reception coverage is in place during the hours 8:00 AM to 4:00 PM during breaks and lunch hours.
Administer and manage the Birthday Card Program.
Provide administrative support to internal departments, as required.
Maintain required internal contact lists.
Administer the Company’s building access cards and inventory.
Administer Customer Service inbox including product inquiries, gift card inquiries, donation requests, and other issues, as required.
Update and maintain the Franchisee absence log and notify management of any upcoming absences via email.
Update and maintain the Purolator and registered mail logs.
Provide assistance to all internal and external customers and ensure calls are directed to the appropriate department.
Oversee the schedule of reception area meeting rooms to eliminate overlap and ensure availability.
Greet all internal staff and external clients who visit or contact the Company’s corporate office.
Maintain the visitor’s log.
Hours per week: 35
