Requirements: University Degree in a related field (e.g. Political Science, Public Administration, Business etc.) or College Diploma in a related field and/or combination of relevant training, education and significant demonstrated experience.
Minimum three years’ experience working in a Municipal Government office environment.
Experience working municipal elections, preferably in Ontario, with responsibilities in administration and coordinating elections, is preferred.
Experience interpreting and applying various types of legislation and demonstrated ability to research and learn municipal and applicable provincial legislation and regulations, including the Ontario Municipal Elections Act, the Municipal Elections Modernization Act, the Municipal Act, the Accessibility for Ontarians with Disabilities Act, and the Education Act.
Demonstrated strong project management, time management, organizational and planning skills; ability to prioritize work and to work in a fast-paced, high-pressure environment with competing priorities.
Excellent public relations, customer service and communications skills to be able to effectively resolve public inquiries and ability to deal effectively and tactfully with all levels of staff and government, elected officials, local boards and commissions, community groups and the general public.
Experience in supervisory functions such as recruitment, training, and scheduling.
Demonstrated ability to maintain a high standard of professionalism, sound judgement, diplomacy and confidentiality.
Ability to work independently with limited supervision as well as work within a team environment.
Intermediate computer skills in data entry, word processing and other pertinent software i.e. MS Office Suite (Outlook, Word, Excel, PowerPoint).
Excellent administrative, report writing, communication, analytical, problem-solving, organizational and time management skills.
Be available to work a flexible work schedule including scheduled and unscheduled overtime.
Class “G” Driver’s License in good standing and a reliable vehicle to use on corporate business.
Description: Assist the Town Clerk with the planning, administration and organization of all aspects of the 2026 Municipal and School Board Election and any by-elections;
Responsible for the coordination and project management functions of all Municipal and School Board elections and any by-elections;
Ensures integrity of the election process by carrying out tasks in accordance with Municipal Act, 2001, Municipal Elections Act, 1996, Education Act, Accessibility for Ontarians with Disabilities Act, and any other legislation relevant to the position;
Assists the Town Clerk with researching, developing and implementing strategies, including policies and procedures, related to various aspects of the election;
Prepares reports, statements and other documentation related to the election;
Prepares, updates and revises election materials including Voters’ Lists, information pamphlets, election handbooks, voter cards, training materials, forms, etc.;
Assists with the implementation of Municipal Election communication strategies, which includes preparation of information packages for candidates and notices for publications required by the Municipal Elections Act, and the dissemination of information to the public and candidates regarding the election process;
Assists with monitoring and updating the Election Website;
Liaises and consults with Provincial and Municipal partners, as required including external contractors for the provision of election equipment and technology;
Procures and organizes supplies required to implement the Municipal Election;
Acts as the Liaison and main point of contact between the Town, the public, staff and of the Municipal Election;
Oversee candidate nominations and third-party advertiser registration;
Recruits, organizes, directs and trains election staff;
Conducts training sessions and oral presentations to the election staff;
Schedules voting locations for advance, roving and Voting Day poll locations;
Updates voting statistics on Election Day;
Assists in coordinating the people, materials and equipment necessary to effectively implement the election, including the administration of agreements and procurement documents to be signed by the Town Clerk;
Completes all post-election tasks for review of the Town Clerk, including accessibility reporting, document management, secure storage of ballots, equipment and supplies and makes recommendations to the Town Clerk for consideration for future elections. Ensures staff and facility rental payments have been made;
Maintains the integrity of the electoral process;
Other duties as may be assigned.
