8-10 years of administrative, executive assistant, or coordination experience (non-profit/charity experience an asset).
Excellent organizational skills and strong attention to detail.
Proficiency with Microsoft 365, SharePoint or OneDrive, QuickBooks and comfort learning new digital tools.
Exceptional written and verbal communication skills.
Ability to handle confidential information with discretion and professionalism.
Strong interpersonal skills, with the ability to work collaboratively in a small team environment.

Preferred:
Experience supporting Boards of Directors and maintaining governance records.
Familiarity with donor databases (e.g., Salesforce, or similar CRM).
Interest in environmental conservation, land protection, or community engagement.
Valid driver’s license and access to a vehicle for occasional local meetings or events.
Description: We are seeking an organized, detail-oriented, and resourceful Executive Assistant to support our small but dynamic team and help advance our mission of conservation excellence.


Position Overview:
Reporting to the CEO, the Executive Assistant provides high-level administrative, governance, and operational support to ensure the smooth functioning of the organization. The successful candidate will play a key role in coordinating Board and committee activities, managing communications, assisting with financial and fundraising administration, and supporting project and event logistics.


This position is ideal for someone who thrives in a collaborative, purpose-driven environment and enjoys a variety of administrative and coordination responsibilities.

Key Responsibilities:

Administrative & Executive Support:
Provide executive-level administrative support to the CEO and senior team.
Manage scheduling, correspondence, and meeting logistics.
Assist with onboarding of new staff, Board and committee members.
Provide logistical support for the Board of Directors including meeting agendas and minutes.

Communications & Coordination:
Act as a first point of contact for general inquiries to the Land Trust.
Support internal and external communications, including newsletters, donor correspondence, and event outreach.
Liaise with landowners, volunteers, donors, and conservation partners.

Financial & Fundraising Administration:
Assist with processing invoices, expenses, and credit card and banking reconciliations.
Support donor acknowledgment, data entry, and tracking in the donor management system.
Assist with compiling financial and grant reporting materials.


Event & Project Support:
Coordinate logistics for meetings, events, and workshops, including registrations, materials, and on-site setup.
Support outreach and stewardship events, such as tree plantings, volunteer days, and landowner gatherings.
Assist with promotional materials and social media coordination as needed.

Records & Data Management:
Maintain and update databases for donors, contacts, and property records.
Track easement monitoring reports, agreements, and compliance deadlines.
Ensure data consistency across shared drives and cloud-based systems.

Work Environment & Compensation:
Part-time position: 3 days per week (20 hours). Occasional evening and weekend work.

Compensation: $25-$28/hr;
