Previous administrative or clerical experience (automotive dealership experience is an asset).
Strong communication and interpersonal skills with a customer-service focus.
High attention to detail and accuracy when handling documentation.
Ability to work effectively in a fast-paced, team-based environment.
Proficiency with Microsoft Office applications (Outlook, Word, Excel).
Experience with dealership management systems such as Reynolds and Reynolds and/or PBS is considered an asset.
Strong organizational skills and ability to manage multiple tasks simultaneously.

Description:
The Licensing Clerk plays a critical administrative and customer-facing role within a busy automotive dealership environment. This position is responsible for the accurate processing, coordination, and maintenance of vehicle licensing and ownership documentation while delivering a professional and positive customer experience.
Working in a fast-paced, team-oriented setting, the Licensing Clerk ensures that all vehicle transactions—including new, used, wholesale, and lease terminations—are completed in compliance with government regulations and internal dealership standards. The role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities while supporting dealership operations and customer service excellence.
Key Responsibilities.
Process licensing and registration paperwork for new, used, wholesale vehicles, and lease terminations.
Coordinate vehicle ownership transfers and licensing with the Ministry licensing office.
Maintain accurate vehicle registers in accordance with government and regulatory requirements.
Create, update, and manage complete vehicle files and documentation.
Maintain records, reports, and inventory lists as required.
Prepare vehicle purchase and wholesale documentation for the used vehicle department.
Ensure compliance with all regulatory bodies and dealership policies.
Perform additional administrative duties, projects, and tasks as assigned by management.
