Overview
We are seeking an experienced Fleet & Tool Manager to lead the optimization, planning, and cost control of vehicles, heavy equipment, trailers, tools, and reusable materials across multiple operating units.
This is a data-driven, cross-functional role. The successful candidate will work closely with Project Managers, Superintendents, Operations, and Senior Management to ensure fleet readiness, maximize utilization, reduce costs, and prevent project delays.
This role does not approve capital purchases. Instead, it produces evidence-based recommendations for senior leadership.
Key Responsibilities
Fleet, Equipment & Tool Optimization
Analyze telematics and operational data to improve utilization and reduce idle time
Identify underutilized assets and recommend redeployment or off-rent actions
Track cost per hour / km by asset
Reduce unnecessary rentals through planning and data analysis
Forward Planning & Operations Integration
Participate in Monthly Operations Reviews (MORs)
Forecast equipment, fleet, tool, and reusable material needs for upcoming projects (30–90 day outlook)
Confirm availability of owned assets vs rental requirements
Coordinate advance rental planning to avoid shortages and emergency costs
Anticipate maintenance, inspections, and repairs before project startup
Vendor & Cost Management
Review vendor performance (cost, turnaround time, repeat repairs)
Support vendor negotiations with data
Track warranty recoveries and repeat failures
Monitor repair, rental, fuel, and downtime trends
Policy, Compliance & Accountability
Enforce fleet, tool, and inventory policies
Support damage vs wear determinations
Drive documentation and compliance discipline across operations
Reporting & Recommendations
Produce weekly and monthly fleet intelligence reports
Prepare Fleet Readiness & Risk Summaries for MORs
Build capital and optimization recommendation packages for senior management
Software & Systems
Experience with or ability to work across:
JD Link, Samsara, Kubota Telematics, Terex Fleet Edge
Acumatica, BusyBusy
Google Workspace (Sheets, Docs, Drive)
Exposure to inventory or asset tracking software is an asset
Qualifications
7+ years experience in fleet, equipment, or asset management (construction preferred)
Strong analytical and reporting skills
Experience working with telematics data
Ability to work cross-functionally with operations and project teams
Strong communication and documentation skills
Valid G license
