Requirements:
The ideal candidate will hold a diploma in Secretarial/ Administrative Science or Business/ Public Administration, paired with five years demonstrated experience in a senior administrative assistant role within a municipal environment. Other requirements include:
Working knowledge of administrative processes and protocols, general office equipment operation, records management practices, and customer/public relations principles in a service-excellence environment.
Computer literacy utilizing ActiveNet, Microsoft Office Suite (Word, Outlook, Excel, PowerPoint, SharePoint), Adobe and social media.
Proficiency working independently within project parameters and timelines, able to prioritize work and multi-task while at the same time meet deadlines.
Ability to interact effectively and courteously will all levels of staff and contacts in a political and community service environment; exercise discretion and judgment when handling confidential/sensitive/controversial information; build and contribute to cooperative and collaborative working relationships.
Description:
Reporting to the General Manager of Parks, Recreation and Culture, the Administrative Assistant provides administrative support to the General Manager, Directors and Supervisory positions within the Parks, Recreation and Culture department. Key responsibilities include:
Administrative support including correspondence, presentations, tender documents, contract execution and reports.
Telephone and reception services for the department including scheduling meetings, booking meeting rooms and arranging amenities.
Leads the planning, scheduling, coordination and implementation of departmental team meetings, motivational events and public open houses and information centers.
Respond to inquiries and information requests from the general public, businesses, provincial officials and other levels of government. Maintain record of all contacts.
Responsible for agenda management, in consultation with the Clerks branch. Formatting Proof reading/editing/revising reports to Town Council as directed by the General Manager and Branch Directors.
Administers accessibility compliance and translation services with department documents as required.
Assists as an administrative back-up for the Office of Mayor and Council.
Coordinates the administration of the Commemorative Tree & Bench Dedication Program including responding to resident inquiries, processing applications and payments, corresponding with program participants and vendors, as well as Park Operations staff to coordinate implementation.
Oversees departmental webpage updates including proactive identification of areas for improvement, regular time-sensitive updates, drafting content, and coordinating input from each division.
