Description:
Home-Based (Sutton, ON)
We are seeking a highly organized, motivated, and solutions-oriented Scheduler to join our team. This is a home-based position operating out of Sutton, Ontario.
We're looking for someone who genuinely enjoys solving problems, thinking ahead, and building efficient schedules. The ideal candidate sees scheduling as more than simply booking appointments—they enjoy piecing together routes, crew assignments, and customer requirements like a puzzle to create the most effective and logical plan. If you thrive on organization, logistics, and finding creative solutions when plans change, this role may be a great fit.
The Scheduler serves as a key liaison between our customers and service crews and is the first point of contact for day-to-day operations. This position is responsible for accurately scheduling recurring commercial kitchen exhaust cleaning services in accordance with fire code requirements while balancing customer needs, geographic efficiency, and crew availability. Our service crews work night shifts, while office coordination and customer communication take place during regular daytime hours.
Key Responsibilities:
• Handle a high volume of incoming calls and emails professionally and promptly.
• Proactively contact customers to schedule services, confirm details, and verify database information.
• Coordinate schedules for 6–7 service crews, averaging 2–3 jobs per crew per shift.
• Create efficient service routes and schedules by strategically grouping jobs and optimizing crew travel.
• Analyze scheduling challenges and adjust plans to accommodate changing customer requests, crew availability, and operational priorities.
• Investigate, troubleshoot, and resolve customer inquiries and scheduling conflicts.
• Maintain accurate and up-to-date customer and job records in the database.
• Schedule recurring and new customer appointments 3–4 weeks in advance, adjusting as needed.
• Collaborate with management and field staff to ensure smooth daily operations.
