Position Summary
We are seeking a highly organized Administrative Assistant – Technical Operations to support technical service operations and administrative coordination.
This role focuses on technical service documentation, operational coordination, and communication between contractors, technicians, and internal departments. The successful candidate will help ensure service information, technical notes, and operational records are accurate, organized, and easily accessible to support efficient service delivery.
The position interacts with technicians, customers, contractors, and field teams while providing administrative support and coordination for technical operations.
Key Responsibilities
Technical Operations Coordination
Provide administrative support to the Senior Manager of Technical Operations.
Coordinate communication between contractors, technicians, and field teams.
Ensure service notes, property details, and operational updates are communicated to appropriate teams.
Support coordination between technical operations, service management, warehouse, and office staff.
Maintain organized records related to technical service activities.
Service Documentation & Case Management
Create, update, and maintain service cases, technical notes, and documentation within service management systems.
Review technician and contractor reports to ensure information is complete and accurate.
Track service updates, follow-ups, and outstanding issues requiring management attention.
Maintain accurate records of service activities, equipment details, and technical updates.
Assist with preparing repair quotes and service estimates based on technician assessments.
Support service workflows from initial request through quotation preparation, approval coordination, and scheduling.
Administrative Support
Prepare reports and documentation requested by management.
Assist with tracking technical service issues, equipment concerns, and follow-up actions.
Support the organization and maintenance of technical procedures, service records, and operational documentation.

Qualifications
Required
Minimum 2 years of experience in administrative coordination, operations support, or service administration.
Strong organizational and time management skills.
Professional written and verbal communication skills.
Ability to manage multiple tasks in a fast-paced environment.
Experience with Microsoft Office and service management systems.
Ability to understand technical notes, equipment terminology, and basic troubleshooting information.
Preferred Assets
2–3 years of experience in the pool service industry.
Experience with NetSuite or similar service management software.
Familiarity with pool equipment, service terminology, or home services operations.
Work Environment
Full-time, in-office role based in Stouffville, Ontario.
Fast-paced service operations environment, especially during peak season.
Collaborative team environment supporting technicians, contractors, and technical operations.
