Job Summary:
The incumbent Receptionist will play a key role in the efficient operation of Flex Point Security and Flex Point Academy Headquarters, providing professional front-desk, administrative, and clerical support while serving as a primary point of contact for clients, students, visitors, employees, and the public. The role manages incoming communications, supports daily office operations, and maintains a professional reception environment, while also coordinating client-facing room and space bookings and events, ensuring all required rooms, equipment, supplies, services, and other arrangements are in place to deliver a seamless and professional client rental experience.
Position Overview:
The Receptionist serves as the primary front-office contact for Flex Point Security and Flex Point Academy, providing professional reception, administrative, client-service, and operational support. The role requires discretion, strong communication and organizational skills, and the ability to manage competing priorities while ensuring office, visitor, booking, and event requirements are handled efficiently and in accordance with company policies and procedures. Key Responsibilities:
Reception & Office Administration :
▪ Greet and assist clients, students, visitors, employees, and members of the public while maintaining a professional image of the organization,
▪ Answer, screen, and direct incoming calls, emails, and general inquiries to the appropriate person or department,
▪ Maintain a professional, organized, and welcoming reception area,
▪ Manage visitor arrivals, deliveries, correspondence, and front-desk records as required,
▪ Provide general administrative and clerical support to Management and office departments,
Client Booking & Events:
▪ Coordinate client-facing room and space bookings from initial inquiry, quotes, and through to completed bookings
▪Maintain accurate booking calendars and confirm room, space, and event requirements,
▪ Coordinate booked events and ensure all required rooms, equipment, furniture, supplies, services, and other arrangements are in place
▪ Liaise with internal staff, clients, vendors, and service providers as required to support successful events,
▪ Conduct pre-event checks and address or escalate issues to ensure a seamless client experience & act as prime contact for troubleshooting on days events are booked.
Operational Support:
▪ Assist with maintaining office supplies, shared spaces, meeting rooms, and classrooms,
▪ Maintain accurate records, logs, and administrative documentation as required,
▪ Handle confidential and sensitive information with integrity and discretion,
▪ Provide administrative and coordination support to the organization as required,
▪ Provide professional and courteous service to employees, security guards, students, clients, visitors, applicants, and members of the public
▪ Maintain a professional telephone and email manner when communicating on behalf of our organization,
▪ Exercise sound judgment when determining whether an inquiry can be addressed directly or should be escalated to Management or the appropriate department,
Flex Point Academy Support:
▪ Greet and assist students and visitors attending our Academy
▪ Respond to and direct general training inquiries to the appropriate internal party/parties,
▪ Support classroom preparation and help maintain an organized and professional training environment,
▪ Assist with issuing Training Completion Numbers and certificates,
▪ Assist with duties in Training Coordinators absence.
Working Environment:
The Receptionist works in a professional headquarter and training-academy environment, interacting regularly with employees, security personnel, students, clients, visitors, applicants, vendors, and members of the public. The position requires prolonged periods of sitting, regular walking and use of flights of stairs, and occasional light lifting of items weighing up to approximately 45-50 lbs., while maintaining professionalism and attentiveness when managing competing demands, including telephone calls, visitors, administrative requests, and changing operational priorities.
