Requirements:       A minimum of a high school graduation diploma, with preference given to those with post graduate education. At least 2-3 years of recent, continuous, administrative clinic experience, with excellent written and oral communication skills. At least 2 -3 years of hands-on bookkeeping experience, using accounting software such as QuickBooks. Strong computer skills using Microsoft Office (Excel, Word, Outlook, etc.) with the proven ability to learn proprietary and other software quickly. Highly organized with the ability to multitask and manage time with a customer focused and positive attitude. Proven skill in managing work flow, setting priorities and regularly take initiative to keep the clinic and service flow organized and running efficiently. The ability to respond to changing business priorities. The ability to deliver results on a timely basis with minimal supervision. The ability to work well in a team and maintain composure and poise in a fast paced environment.
Description: Ensures Daily invoice review and review of “to be billed” are conducted including: MVA - Telus Billing. HCAI – forms, submissions, billing, receivables, payouts. WSIB – forms, submissions, receivables, payouts. Administers accounts for clinic by monitoring and reconciling various accounts, statements, and reports and identifies and analyses discrepancies and errors, correcting errors and following up on issues or problems. Maintains and coordinates all accounts receivable procedures. Liaises with Adjusters, Practitioners, Lawyers, patients as required. Provides discrepancy corrections on practitioner invoices – as reported by Bookkeeper. Prepares Quarterly Practitioner Stats. Prepares budgets or budget proposals as directed by management. Records expenses and provides account statements as requested. Maintaining a supervisor's agenda, setting up appointments, reminding management of appointments and organizing schedule according to priorities. Ensuring information is complete and that procedures and guidelines are followed. Resolving issues within area of responsibility as delegated. Coordinating co-op students and the delegation of supervision. Consulting relevant documentation and liaising with appropriate individuals to obtain and provide information on diverse and complex issues. Reviewing and recommending necessary procedural changes to enable clinic to function more effectively. Coordinating administrative breaks where appropriate. Arranging for office equipment service. Screening, sorting and distributing all mail. Ensuring administrative training of clinic practices, operational policies and procedures and software integration (i.e. P&P binder, HCAI procedures).
Hours per week: Monday - Friday ( 35 - 40 )
Rate of Pay: $ 18 - $ 22 per hour Based on Experience
